More advanced chatbots, integrated with artificial intelligence models, can hold natural and complex conversations, understand questions phrased in different ways and provide personalised responses based on the context of the conversation. Do chatbots work with artificial intelligence?
Yes, modern chatbots can be integrated with artificial intelligence systems to offer a much more natural and effective conversational experience than rule-based chatbots. AI-powered chatbots use language models (such as GPT) that are capable of understanding the context of a conversation, interpreting questions phrased in very different ways and generating coherent, personalised responses. This makes them significantly more useful than traditional chatbots, which could only respond to predefined keywords. Integration with AI also makes it possible to train the chatbot with information specific to your business: product catalogue, prices, return policies, frequently asked questions and so on, so that responses are accurate and relevant to your sector. The level of sophistication of the chatbot always adapts to the needs and budget of the project.
Can any process be automated?
Most repetitive processes and workflows between digital tools can be fully or partially automated. The most common candidates for automation are tasks such as sending confirmation or follow-up emails, synchronising data between web forms and CRM or databases, automatically generating documents or reports, notifying the team when certain events occur, scheduling content publication on social media, or managing incoming leads. However, there are processes that require human judgement, creativity or complex contextual information that are not yet easy to automate reliably. That is why, before proposing any automation, I analyse the current process in detail to identify which parts can be automated, what the impact on efficiency would be and whether the automation is cost-effective relative to the implementation cost.
Do I need to change my current tools?
Not necessarily. In most cases it is possible to integrate the tools you already use without replacing them. The majority of popular platforms — CRMs such as HubSpot or Salesforce, email marketing tools such as Mailchimp or ActiveCampaign, forms such as Typeform or Google Forms, Google Sheets and so on — have APIs or native integrations that allow them to be connected to each other. When a direct integration does not exist, tools such as Make (formerly Integromat) or Zapier allow automated flows to be created between virtually any application without complex programming. In some cases it may be advisable to replace a tool with one better suited to the workflow you want to automate, but this is always presented as an option and never as a requirement. The goal is always to find the most efficient solution with the minimum possible change to existing processes.
